A note on precision: your board data — the database and document storage — is hosted in Canada. A small number of supporting sub-processors (for example, transactional email and error monitoring) may process limited personal data such as names and email addresses elsewhere. We describe this plainly rather than claim that no byte ever leaves the country.
Three specific reasons data location shows up in a Canadian governance conversation.
Under OSFI's Guideline B-10 (Third-Party Risk Management) and B-13 (Technology and Cyber Risk Management), a federally regulated financial institution remains accountable for the data it exchanges with third parties — including where that data resides and whether a vendor moves it outside Canada. Cross-border arrangements get specific scrutiny.
A board portal hosted in the United States is one more cross-border arrangement the board has to assess and defend. One hosted in Canada is not.
Before an organization subject to Quebec's Law 25 communicates personal information outside the province, it must conduct a privacy impact assessment — evaluating whether the destination jurisdiction offers protection equivalent to Quebec's. For US-bound data, that means weighing American government-access regimes such as the CLOUD Act and FISA Section 702.
When the board's data stays in Canada, that particular transfer assessment is not triggered for it in the first place.
Crown corporations, agencies, post-secondary institutions, and many member- and mission-driven organizations operate under procurement rules or stakeholder expectations that favour keeping Canadians' data in Canada.
